Purchasing Data Agent

Location: Gerlach, NV

Department: Department of Public Works Purchasing

Type: Seasonal

Min. Experience: Entry Level

This position will serve as support to the Purchasing Team by performing data entry and when needed, office administration. Candidate must have computer skills to facilitate use of the FileMaker database, and for light internet use and basic email. Enthusiastic (and/or realistic!) about data entry as this will be the main duty of this position. Ability to maintain confidentiality is essential.

The deadline to apply for this role is 6:00pm PT on Friday, June 30, 2017.

  • Purchasing Manager will assign POs to the Data Agent to enter pricing and other info as needed.
  • Data Agent will enter data into purchasing database to include prices, tracking numbers, delivery dates, etc. and attach applicable files (receipts, tracking info, proof of delivery)
  • Scan (using CamScanner or similar) and upload paper-only documentation to GoogleDrive, re-label for corresponding PO.
  • Insure proper documentation by reviewing PO for deficiencies, making appropriate changes, and when necessary returning incomplete documents to the Purchasing Manager for resolution.
  • Assist with reconciliation of requests to purchase orders to receipts to accounting. Basically, help us keep the paperwork accurate and figure it out when it becomes inaccurate.

  • May be asked to assist with any various tasks to support Purchasing Team on an as-needed basis.

  • You must be able to stay on-task. Data Entry can be tedious and boring, it also is essential to our department. Your contract will be during the height of the event production, it is totally possible that it will feel like the data will never end! You should be able to stay focused during ‘normal business’ working hours to maximize your productivity each day.
  • You must be flexible! Sometimes the information you need is not where it should be (rarely). Sometimes you have to dig (metaphorically) to find it (occasionally). Sometimes there is a rainstorm and your computer will be stranded in Gerlach while you are on the impassable Playa (hopefully never). These things could, and have, happened. We remain flexible and we make the best of it.
  • You must be calm and cool and collected. The job is customer service and our DPW managers are our customers. We all have our own deadlines and then we have the Great Big deadline- you must be able to keep a positive attitude and keep working.
  • Familiarity with DPW and other Burning Man departments a plus!
  • Knowledge of construction materials and tools helpful.

Valid Class C Driver’s License and clean driving record
